TenantPlug (“TenantPlug”, “we”, “us”) provides tools to help landlords, agents, and property managers in Nigeria track rent, send reminders, generate receipts, and manage records. This policy explains what we collect and why.

Note: This is a solid starter policy, but you should still have a lawyer review it especially for NDPR (Nigeria Data Protection Regulation), payment provider obligations, and your final hosting region.

1. Information We Collect

We collect information to provide and improve the service. Examples are included for clarity.

  • Account & organization data: name, email, phone (if provided), organization name, role. Example: you sign up as an “Owner” and create “Acme Properties”.
  • Tenant & property data you add: tenant names, units, rent amounts, lease dates, payment status. Example: Unit A1 rent ₦450,000 yearly, due date 2026-02-01.
  • Payment & transaction data: payment references, amounts, timestamps, status (success/failed), and provider metadata. We do not store full card details. Card processing is handled by payment providers.
  • Communications: messages you send through the platform (e.g., reminder templates), and support requests. Example: “Rent reminder for Unit B2” via email/WhatsApp/SMS.
  • Usage & device data: IP address, browser type, pages visited, feature usage, log events for security.
  • Cookies: for authentication and basic analytics (see Section 9).

2. How We Use Information

  • Provide the service (rent tracking, receipts, reports, reminders, payment links).
  • Security & fraud prevention (detect suspicious login attempts, protect accounts).
  • Support & communication (respond to requests, send service notices, onboarding tips).
  • Improve features (understand common workflows and fix issues).
  • Legal compliance (tax, fraud, lawful requests).

3. Legal Basis (NDPR-style)

Where applicable, we process data based on one or more of the following: contract necessity (to deliver TenantPlug), legitimate interests (security and service improvement), consent (optional marketing communications), and legal obligations.

4. Sharing & Disclosure

We do not sell your personal data. We may share data in limited cases:

  • Service providers: hosting, email delivery, SMS/WhatsApp providers, analytics, customer support tooling. Example: sending an email reminder requires sharing the recipient email with the email delivery provider.
  • Payment processors: to process transactions and verify payments.
  • Compliance & legal: when required by law, court order, or to protect rights and safety.
  • Business transfers: if TenantPlug is involved in a merger/acquisition, we may transfer data with safeguards.

5. Data Retention

We retain data as long as needed to provide the service and meet legal obligations. Example: payment records may be retained longer for audit/tax reasons. You may request deletion where applicable.

6. Security

We use reasonable safeguards such as encryption in transit (HTTPS), access control, and logging. No system is 100% secure, but we continuously improve protections. Example: admin actions may be logged for audit.

7. Your Rights

Depending on applicable law, you may have the right to:

  • Access, correct, or update your information
  • Request deletion (subject to legal retention needs)
  • Object to certain processing or request restriction
  • Withdraw consent for marketing communications

8. Tenants & Third-Party Data

If you upload tenant data, you are responsible for having a lawful basis to do so. In many cases, you act as the “data controller” and TenantPlug acts as a service provider. Example: you should only add tenant phone numbers if needed for rent reminders and you have permission to contact them.

9. Cookies

We use cookies for authentication and basic functionality. Optional analytics cookies (if enabled) help us understand usage trends. You can manage cookies through your browser settings.

10. International Transfers

If our hosting or vendors process data outside Nigeria, we use safeguards to protect your data. Example: cloud hosting may store encrypted backups in another region.

11. Changes to This Policy

We may update this policy. If changes are material, we will post the updated version and update the effective date.
